Hopefully we can join you over one of the weekends; looks like you will be close to our home port for most of the trip. My wife has a lot of business travel through August but we will pencil it in. Shelter, Napatree or Block we can hit any of them over a weekend.

That's great! I'll put you on the List of Maybies and you let me know when you're ready to be moved up to the List of Participants. Also, let me know whenever you want to fill in the blanks on the info for your crew on the first page.
 
Alex, we just found out that my grandchild will be born in that time frame. At this point I cannot commit to anything. If we can join you it will be last minute, or maybe just one of the ports. I will continue to follow this link.

I was able to get some info regarding catering options for Mystic Seaport.

Morgan Suite (up to 50 people) - $2K: Available Saturday Aug 9th
River Room (up to 200 people) - $2K: Available Sunday August 10th
The $2,000 means this is the minimum we need to spend for food and beverage to cover the rent. Another words, if we take basic dinner pkg (not counting the drinks) for $34 we'd need 58 adults.

Require $500 non-refundable deposit

Dinner Options (Packages range from $27 to $60 p/p):
adults dinner basic package $27 + 20% service + 6.5% = total $34
kids (under 10yrs) basic package $16 + 20% service + 6.5% = total $20

Beverage Options:
1) Prefixed package from $12 p/p and up (there are several options).
2) Open cash bar, which requires $100 (total from the group) extra for the bartender, this is where we just order whatever we want and pay per drink at the bar.

So, at this time I see a problem being limited with the dates. On Sat, Aug 9th they have only one place available limited to 50 people. Therefore, they can accommodate larger group only on Sun Aug 10th.

Also, I can't get in touch with the Mystic Seaport Marina dockmaster, despite the fact that I left several messages.

Any comments/thoughts?
 
I thought we had already decided on the first and last ports (SI and Block) lets finish up the itinerary - this is starting to get embarrasing my "official P1s" are SI, Montauk, and block - my crew will also be starting early (weds or thurs) at sag if anyone else is interested

Well, it's not that simple, Mike.

We can't just say "...let's take our flotilla of 25 boats to ports A....". As you can imagine not all the ports are capable of handling such a large group.

There are a lot of things happen behind the scene that most are not aware of. Thus, what you see going on here is noting more than a normal planning phase. We have an idea where we'd like to go, we have some idea of what the accommodations might be. However, none of the information is complete allowing drawing a line so we can start committing and making reservations.

For example, even though we all agree that West Neck Harbor is a good choice for the first port and have the feast, out of the two options for the feast (catering vs. party at the dock) I can't say that we have either one, at the moment. The restaurant doesn't respond to me, despite the fact that I left number of messages and sent emails. I can't say "forget catering, we'll do the feast at the dock" simply, b/c I have only two boats that stated that they're going to take a slip. I don't mind taking a slip as well, but as you may recall we need to reserve at least 12 slips to be eligible for the dock party, 3 slips simply won't cut it.

Hopefully you get better picture now that until I get responses from the marinas and catering places I can't say that they're ready to take us. For those places where I got response from (e.g. West Neck dockmaster), I can't tell them to sign us up, b/c I need response from you guys.

If you want to make this simple and have quick settlement on the West Neck Harbor, let's have all 10 people who had voted for WNH state that they'll take the slips and we need at least two additional folks to vote for WNH and commit to the slips. This will secure an option of having the party at the dock. Another option is to wait a bit more to see if I get response from their restaurant regarding catering. If we like what they offer for catering, we might need any of the slips, besides those that wish to take them anyway.

Until anything I've mentioned above takes place, I'm making inquiries via phone or emails, collecting info and posting here so we all can review and see what makes sense the most. We have number of decisions to make as we have nothing solid other than BLOCK.

BTW, just an FYI, besides WNH and Mystic I'm also in contact with other places. If I hear something interesting I'll let you guys know.

I would not rule out West Neck. I could make a vacation to include Newport, Block and Shelter Island.
 
Alex - I certainly appreciate your efforts and am sorry if I came off like a "keyboard cowboy" its hard to get across what you mean without being face to face......I'd be willing to take a slip to make this happen and i could be there early friday morning to help with any prep that needs to be done - I guess you were right - Taylor's was an ideal set-up and not too easy to duplicate.

I don't think having the event catered by the restaurant at the marina is an option. The restaurant is fairly small, serve both lunch and dinner and I doubt they could accommodate us and keep the restaurant going at the same time. I think a better option would be to use a catering company in the Hamptons. Let me know if you want me to look into that and get you some names....

Okay, we're all in on West Neck Harbor in a slip. Looked it up, love it. We'll take an extended vacation.

I can't wait for this trip. I just wasted another day of my life that I'll never get back on #%*€¥!! Snow removal!!! Bring on the summer already!!
 
Alex, are you trying to contact the folks at Salt restaurant in West Neck? The owners usually end up on a warm island during the winter. If you are having difficulty getting a return call, this may be the reason.

Thanks for understanding and responding quickly. We're now looking at 10 volunteers to take the slip and I'm sure that getting another couple of boats will be no problem. This makes things a lot easier in terms of securing a spot and privileges to use marina's facilities for the feast.

I'll keep everyone posted as soon as I have any news.

I've updated the first page and here's similar info in the spreadsheet format. If you see some errors, please let me know.

As of now we're looking at possibly 26 boats. Not too shabby for beginning of February. :thumbsup:

Alex, are you trying to contact the folks at Salt restaurant in West Neck? The owners usually end up on a warm island during the winter. If you are having difficulty getting a return call, this may be the reason.

Jerry, you hit the nail in the head. Thanks for the info. That explains a lot. I wonder how long do we have to wait for them. I can't say that we have too much luxury of the time when dealing with a marina that has limited space. So, I think our Plan A should be reserve the slips and have the feast in designated picnic area (just like we've done in the past at MYC).
